Senior Manager, Facilities
In this full-time position, you will help a 650-member congregation manage a 125-year-old building complex at 2515 Fillmore Street in San Francisco. This onsite position will ensure the robust delivery of daily facility management operations and services, oversee equipment and grounds, manage vendor contacts and relationships, and maintain safety and emergency procedures. Additional duties include reception and front desk staff management, visitor service, coordinating schedules of paid staff and volunteer resources, some administrative assistance, and general program support to staff Minister, Project Managers, church staff and lay leadership. The church is financially stable, and this can be a steady, regular job position.
We offer a kindly, but busy work environment in a convenient, bus accessible location (2515 Fillmore St, SF; no parking onsite) and a salary in the range of $85-100,000 per year depending on experience. Additional compensation includes several benefits such as paid premiums for employee health plans, vacation, holiday, and sick leaves, and a contribution to a 403(b)-retirement account.
Building Management (75%)
· Responsible for ‘owning’ Calvary’s physical footprint, overseeing regular and detailed inspections to ensure proper appearance, cleanliness, maintenance, and upkeep of the interior and exterior of the building
· Manage, hire, train, and evaluate paid staff (2.5 FTEs), including their work schedules, time records, and priorities. Also oversee janitorial and contingent contractor (about 1 FTE).
· Coordinate vendors and suppliers to meet Calvary performance and expense needs; coordinate and review the work of contractors, ensuring compliance with service level expectations, quotes and standards
· Respond to inquiries and requests from Ministers, Project Managers and other staff for event coordination, signage, room set-up and take-down needs
· Responsible for forecasting and planning maintenance needs and instituting effective maintenance and repair programs, as well as accurate and useful record keeping
· Oversee all major building systems including HVAC, electrical, plumbing, structural, and security.
· Interact with external third parties and coordinate logistical needs for rental and contracted events
· Monitor all facility operational policies and recommend changes to improve overall functionality of facility
· Oversee the opening and closing of the building, including maintaining appropriate schedules and personally staffing the front entrance as needed; this specifically includes worship services on Sundays and other events throughout the year
Reporting and Administration (15%)
· Oversight, use, and maintenance of facility specific software and documentation (e.g. procedures, lists, guides, process descriptions)
· Prepare and maintain narrative and statistical reports and analyses, records, and files as needed or requested by the CAO
· Responsible for monitoring financial and operational findings for the property and collaborating with the CAO to ensure facility expenses are within budget and on task while delivering a high level of service
Emergency, Safety, & Other Program Support (10%)
· Oversee the creation of emergency procedures, documentation, training and testing, as needed or requested by leadership
· Respond to and manage after-hours emergency calls
· Responsible for overseeing the church’s safety, environmental, accessibility, and hazmat plans
· Be aware of and assist in ensuring compliance with relevant safety regulations and church policies
Required Skills & Abilities
· Five (5+) years of increasingly responsible building or facilities maintenance experience, including supervisory experience, and preferably in an older, multi-use facility
· Experience with and ability to work well independently as well as in collaborative/matrix-based environments and a commitment to maintaining an inclusive, safe, and welcoming workplace
· Ability to prioritize, be attentive to details, maintain confidentiality, and provide exceptional congregational and visitor service
· Demonstrated communication, interpersonal, organizational, analytical, and problem-solving skills; must have command of the English language, and ability to listen and follow-through on communications under deadlines; must show initiative in communicating work needs and tasks in a timely manner to all relevant parties.
· Proven proficiency in the Microsoft Office suite of products; experience working with building management systems (e.g., the church uses FMX and Asana software) and general event tech equipment (e.g., mics, Zoom setup, etc.)
· Comfortable working with people of strong spiritual views (Though a specific faith affiliation is not required for the employee)
· Ability to read and interpret technical manuals, schematics, and blueprints
Additional Information
· Standard work week is Sunday-Thursday (8-9 hours per day, onsite); Sundays are a required workday (with some exceptions). A few Saturdays may be necessary; however, compensatory time will be given. Working on Easter Sunday and Christmas Eve is required.
· Regularly use hands to manipulate tools, controls, phones and computer keyboard. Frequently stand, reach overhead with hands and arms, climb, balance, and stoop. Sit and stand to do clerical work for extended periods of time. Ability to lift and carry supplies and equipment up to 25 pounds required.
· Salaried, exempt, full-time position
· Valid California Driver’s license; eligible to work in the United States
· Position reports to Chief Administrative Officer
